What a Carpentry invoice needs on it
A carpentry invoice should describe what was built in enough detail that it is recognizable in two years — species, dimensions, finish. On repair work, note what was found and replaced, because that record is what a homeowner shows an inspector or an insurer.
- Any hardware the customer supplied, noted so warranty questions land in the right place
- Photographs referenced by job, since concealed repair is invisible once it is closed up
- Allowance reconciliation, if rot or structural repair was priced that way
- Any finishing performed, or a note that the piece was left unfinished by agreement
- Deposit credited, balance due, and your payment terms
And what every invoice needs
Send it the day the work is finished. Invoices sent within 24 hours get paid materially faster than ones that go out at the end of the month.
- A due date, not just terms — "Net 14" means less to a homeowner than a date
- Any deposit already paid, credited on the page so the balance is unarguable
- Payment instructions the customer can act on without calling you
- The estimate number it came from, so the customer can reconcile the two

- How do I invoice a structural repair allowance?
- Show the allowance, the unit rate and the actual quantity, so the final number reconciles arithmetically. "Sill replacement allowance 8 ft, actual 14 ft at $85/ft" is a settled account. The same total with no breakdown is a conversation you did not need to have.
- Should an invoice note that a piece was left unfinished?
- Yes, when it was unfinished by agreement. It takes one line and it closes the most common post-install carpentry question, which is whether painting was ever part of the deal. The invoice is the document that survives; the conversation in the driveway does not.
