What a Landscaping invoice needs on it

Install invoices should list plants by species and size, because that is the record a warranty claim runs against. Maintenance invoices work best itemised by visit date, so a client who asks "what did I pay for in July" gets an answer instead of a monthly lump.

• Where each plant went, by bed, so a warranty replacement is findable a year later
• Planting date, which is when the warranty period and the watering obligation start
• Seasonal extras — mulch, aeration, bed edging — billed apart from the visit rate
• Any drainage or soil work performed beyond what was quoted
• Deposit credited, balance due, and your payment terms

Send it the day the work is finished. Invoices sent within 24 hours get paid materially faster than ones that go out at the end of the month.

• A due date, not just terms — "Net 14" means less to a homeowner than a date
• Any deposit already paid, credited on the page so the balance is unarguable

What should a planting invoice list?

Plants by species and container size, with the planting date. That is the record a warranty claim runs against, and it is also what a client needs when they want three more of the same shrub next spring and cannot remember what you put in.

How should a maintenance invoice be itemised?

By visit date. A client who asks what they paid for in July should get an answer rather than a monthly lump, and the itemised version is what stops a cancellation conversation in a slow growth month. It takes no extra work if the visits are logged as they happen.

Should the invoice restate the watering requirement?

Yes, on an install. The warranty depends on it, the client has forgotten the conversation by the second week, and the invoice is the document that stays in their file. Restating it there is the difference between a conditional warranty and one you end up honouring unconditionally.
