What a Drywall invoice needs on it
A drywall invoice should record the finish level and texture used. When the painter or the next contractor asks what is on the wall, that line answers it, and it also protects you if someone later judges Level 3 work by Level 5 expectations.
- Board thickness and type — 5/8 fire-rated and 1/2 regular are not interchangeable later
- Square footage completed, against what was quoted
- Anything found once the wall was opened, and what it added
- Whether priming was included, since it changes what the painter should expect
- Deposit credited, balance due, and your payment terms
And what every invoice needs
Send it the day the work is finished. Invoices sent within 24 hours get paid materially faster than ones that go out at the end of the month.
- A due date, not just terms — "Net 14" means less to a homeowner than a date
- Any deposit already paid, credited on the page so the balance is unarguable
- Payment instructions the customer can act on without calling you
- The estimate number it came from, so the customer can reconcile the two

- What should a drywall invoice record?
- The finish level and the texture used. When the painter or the next contractor asks what is on the wall, that line answers it, and it also protects you if someone later judges Level 3 work by Level 5 expectations — which is the most common drywall complaint there is.
- How do I invoice damage that turned out worse than quoted?
- Itemise what was found. "Quoted: 4 ft patch. Found: water damage to 11 ft of board and wet insulation; replaced both." The customer may not enjoy the number, but they can see what it bought, and a photograph attached to the job record settles it permanently.
- Should the invoice say whether the walls were primed?
- It is worth a line, because the painter's next step depends on it. A primed Level 5 wall and an unprimed one look identical and behave completely differently under the first coat, and the invoice is what the homeowner forwards when the painter asks.
